Family Retreat Registration

Family Retreat Registration will be open January 8 through May 30, 2025.

The Family Retreat will be hosted in Reno, NV, July 10 - July 13, 2025. 

Registration Dates & Deadlines

Standard Registration: January 8 through April 30, 2025

Register by April 30 to pay standard registration fees as described in the table below.

Late Registration: May 1 through May 30, 2025

Registration fee prices increase by a $25 per person during Late Registration period beginning on May 1st. 

Registration will close on May 30, 2025

Cancellation and Refund Policy

A percentage of the Family Retreat fees are refundable for cancellations received by select dates (please refer to the table below).

Requests received January 8 - February 2880% of fees will be refunded per attendee
-Young Scholars, parents. and non-member siblings ages 5-18, $395 will be
refunded per attendee
-Non-member siblings, ages 0-4, $300 will be refunded per attendee
Requests received March 1 - April 3060% of fees will be refunded per attendee
-Young Scholars, parents. and non-member siblings ages 5-18, $297 will be
refunded per attendee
-Non-member siblings, ages 0-4, $225 will be refunded per attendee
Cancellation requests received after April 30 may not be eligible for a refund

Please note:

  • All cancellation requests must be submitted in writing to Retreat@DavidsonGifted.org.
  • Cancellation requests will be responded to within 2-3 business days after written request is received. Refunds may take up to 2 to 4 weeks to be processed after you receive a response from our team.
  • Cancellations received after April 30 will not be eligible for a refund. Refunds for extenuating circumstances after April 30 are considered on a case-by-case basis, such as medical emergencies or other unavoidable events. Appropriate documentation may be requested. Approval for refunds under such circumstances is at the discretion of the event organizers. 
  • Registrations are non-transferable and cannot be applied to future events.

Registration Process

Log-in to the 2025 Davidson Family Retreat Community on the Davidson Member Community (DMC) site HERE to access the registration link. (direct registration link will not be available in DMC until January 8)

  • If you are a Young Scholars Program member having difficulty accessing DMC, please reach out to our team through the Contact Us page with your name, email and Young Scholar's name. 
  • Be prepared to fill out the registration form in its entirety.
    • Registration includes the following sections: contact information & acknowledgements, ticket selection, mandatory forms, payment, and submission.
  • Complete one registration form per family and include the information for all parties attending. Registrations are not editable once submitted, therefore you'd have to submit a second registration to add family members at a later time.
  • Please enter legal name(s) for ticket details. An option to provide preferred names for name badge purposes is available in the attendee demographic form.
  • At least ONE PARENT/GUARDIAN must attend the Family Retreat with their youth. Youth are not able to attend alone as this is a family-based event without childcare supervision (except during youth workshops only).
  • After your registration is submitted, Gazebo will send an email with your ticket details. Additionally, Davidson staff will verify your membership in the Young Scholars program, and you will receive a confirmation email from Retreat@DavidsonGifted.org.  Please allow 2-3 business days for your registration to be verified by our team.

Youth Workshop Signups: Youth workshop signups will be released in February. Families who register for the Summit prior to this release will receive an email notification with the signup link when available. Families who register after this release will have access to the workshop signup link in their confirmation email. Families will choose their own workshops for youth directly through our form. Each workshop is capacity based, and reservations will be accepted on a first-come, first-served basis.

This event is private to current members of the Davidson Young Scholars program, and their families. Status of registered attendees will be manually verified after submission. Registration will be cancelled for anyone who does not have current Young Scholars membership status. The the first two application cycles of the Young Scholars program application are likely the final opportunities to apply and receive a decision before the Summit registration deadline. If you currently have an application being processed for the Young Scholars program, your registration will be cancelled and an opportunity to re-register prior to the event registration deadline of May 30 will be provided if your application is accepted prior to the deadline.
